First and foremost, we apologize that you did not receive this parent/player handbook sooner.  Those who played for us last year, should have a copy.  Although we did not hand out a new copy at the parent’s meeting, this handbook has been posted on our website since last year.  The website is www.southernutahvolleyball.com for those of you who may not know.  Due to the amount of parent complaints we have received thus far this year, we felt it necessary for each of you to have a written copy of our handbook.  In this, you will find answers to many of your questions and concerns.  Please take the time to read it thoroughly so that you are familiar with all of our policies.  We would really appreciate it if you would refer to the handbook before you file your complaint.  Thank you for your time.

Welcome to Southern Utah Volleyball Academy

Club season is upon us. For those of you that are new to SUVA, welcome to our club and we hope you have a positive experience.  To those of you who have played with us in the past, we are pleased to have you back and look forward to another great season. We are anxious to get the kids in the gym and look forward to watching their progress over the next several months. At the end of each  season we are able to evaluate our strengths and weaknesses, which is why the operation of our club changes slightly from year to year. We have yet to master the task of having a completely flawless season, which is our goal.  It is a constant learning process and we will continue to make improvements each year.  This handbook is full of information concerning our club policies and procedures.  Please read through this carefully and completely so that you have a better understanding of what our club is all about. We expect all players and parents to know and understand the following material.

Mission Statement

Southern Utah Volleyball Academy is a competitive volleyball program dedicated to advancing the personal and athletic development of each individual member.  It is the philosophy of SUVA to instill work ethic and competitive spirit in each girl and in doing so create a positive team atmosphere. We will assist each member in reaching their individual volleyball goals, whether that be directed towards their high school season or playing beyond high school.

Commitment

We request that SUVA be a priority, after family and schoolwork.  If you decide that your schedule has too many conflicts, then you should seriously consider whether you have the time to dedicate to our program.  We are looking for the player who is committed to reaching her potential and who is willing to work hard to achieve this. In the past, we have had teams fizzle because as the season progressed certain individuals decided they had better things to do.  This is unfair to those girls that want to play and are committed for the entire season. We encourage all to play but expect that once you sign up, you are making a commitment for the duration of the season.

Tournaments

Unfortunately, the nearest region to St. George is the Intermountain Volleyball Association which requires that we travel to Salt Lake for all regional tournaments.  PARENTS ARE RESPONSIBLE FOR GETTING THEIR GIRLS TO AND FROM  ALL REGIONAL TOURNAMENTS. Coaches and/or club representatives will not be responsible for finding your child a ride to tournaments.  We recommend that parents from each team get together and coordinate car pools according to the tournament schedule.  All tournament times and site information will be handed out a week prior to the tournament.  This gives you ample time to make arrangements. Three weeks advance notice is required if you cannot attend a tournament. Teams attending national tournaments will have an additional cost added to their monthly dues. In regards to these national tournaments, they are three days long (if not longer) and do require Sunday play. If you are not willing to play on Sunday, you will not attend any national tournaments.  Let us remind you that this is great exposure for each girl, particularly those wishing to attain a college scholarship.

Playing Time

Understand that practice and training is where you receive the most instruction and experience.  Tournament play is only a supplement to participating in club.  All teams will offer fair (not equal) playing time to each team player.  It is important that each player understand the concept of being part of a “team.”  Selfish acts will be grounds for dismissal from the team and club. If there is an issue with playing time or anything else, please let your daughter address it with her coach first.  If any further questions arise, then the club director can be contacted.  Please have ALL complaints in writing (or e-mail) when addressing the club director.  DO NOT approach the coach or director during the day of a tournament.  Parents please refrain from approaching the coach concerning playing time.

Player Conduct

Every athlete is expected to conduct herself appropriately at all times.  You will be representing SUVA.  Show respect at all times to coaches, teammates, officials at tournaments, and parents.  Be competitive, but not disrespectful toward other teams and/or clubs.  Disrespect to anyone will not be tolerated!

Team Assignments

If it is in the best interest of the program, a player may be moved from one team to another based on one or more of the following (1) position (2) skill level (3) attitude (4) needed for tournament play (5) loss of player from another team.  The coaching staff will have the authority to pull a player up or move a player down at any time.  Please understand that we will place your daughter on a team where we feel she will have the best opportunity to succeed.  We have a very competent coaching staff that will evaluate each player and help place them on a team.

Recruiting/Obtaining Scholarships

It is our goal at SUVA to enhance each girl’s possibility of attaining a college scholarship.  SUVA makes no guarantees, however if you hope to play in college we will assist you as best we can. It is your responsibility to inform our club director of your goals.  We will assist in making skill tapes upon request; parents are responsible for game tapes.  We have materials available to you that are conducive in planning for college recruiting.  We are attempting to make this the focus of SUVA.  This does not mean that only those wishing to go on after high school can play for SUVA, but it must be understood that we want those who are serious about getting better at the sport. You or your parents will be paying good money for this training and experience.  We take it seriously.  If you are looking for laid back practices, practices you can come to every once in a while, then we suggest you look elsewhere.  This is not recreation volleyball.  We want athletes who want to reach their full potential, from the beginner athlete to the elite athlete.  We don’t apologize for this, but are making this very clear up front.

Practice

Practice schedules are posted in the gym, as well as on the web-site. Practice times are from 6:00 – 7:30 p.m., 7:00 – 8:30 p.m., and 8:00 – 9:30 p.m.  Each team will have one of these time blocks two times a week for practice.  If the individual coach chooses to hold additional practices or goes overtime, that is at the discretion of the coach.  Please arrive at practice ten minutes early so that you can utilize your entire block of practice time.  If you must miss a practice, please inform your coach a minimum of 24 hours in advance.  This allows the coach to plan practice appropriately. Understand that circumstances and schedules may require that some teams hold joint practices if a coach is unable to attend. Baby-sitting service is not provided, please be prompt to pick up your daughter after practice.

Concerning Fees

One-third of your total fees will be due up front.  Monthly installment fees are due the first of each month.  Please drop your payment in the drop box that is located inside the gym.  Be prompt with your payment.  Remember, we are passing along our expenses only; we do not have the bank balance to pay expenses without income.  Our expenses must be paid on time and we expect the courtesy of your payment on time.  We have implemented a no pay, no play policy because of problems we have had collecting dues in the past.  We are busy enough with club management; we do not need to spend time tracking down dues all month.  This is not a free service, so please do not treat it that way. THERE IS NO CREDIT OR PRORATION FOR PLAYERS WHO ARE UNABLE TO ATTEND TOURNAMENTS OR PRACTICES.  IF FOR SOME REASON YOU SHOULD CHOOSE TO QUIT, YOU WILL NOT BE REFUNDED YOUR MONEY.

 GRIEVANCE REPORT PROCESS

Club Directors and their staff have an obligation to be familiar with the rules, guidelines and ethics codes of IVA Region and USA Volleyball. Lack of awareness, misunderstanding of a rule or standard is not a defense to a charge of wrongdoing. When a Club Director is uncertain whether a particular situation or course of action would violate policy or ethics, the director should consult with knowledgeable authorities.

When a member believes that there may have been a violation of the policy or ethics by another member, they should attempt to resolve the issue by bringing it to the attention of that individual if an informal resolution appears appropriate and when intervention does not violate any member rights that may be involved.

If you feel a violation is not appropriate for informal resolution or informal resolution did not resolve properly, you may need to file an official grievance. The steps for this process are:

1)Contact the Club Director that represents your area. If you feel there is a conflict of interest between the party with the grievance and the Club Director, contact the IVA Region Office .

2)Your Club Director may attempt another try at informal resolution of the violation.

3)If informal resolution fails again or is not appropriate, your Club Director will notify the IVA Region Office and the appropriate Ethics and Eligibility Chair Person, and assist you in filing the grievance with the IVA Region.

4)Complete a Southern Utah Volleyball Academy Grievance Report. The form should be submitted with any supporting documents to the SUVA office, with a copy for the Region Director. The report will be forwarded to the appropriate Ethics and Eligibility Committee for review.

Club Directors and their staff do not file or encourage the filing of complaints that are frivolous and are intended to harm the respondent rather than to protect the public.
